Salesforce enrichment integration works by matching records in Salesforce to a data source, appending verified fields like emails, and writing them back under rules you control. The hard part is not finding more data. It is getting that data into the right records without duplicates, overwrites, or suppression leaks. This guide gives RevOps teams, SDRs, and sales leaders a workflow decision table, mapping policies, and a sandbox test. For the broader setup, see Apollo's CRM integration walkthrough.
Tired of hours lost verifying emails and phone numbers by hand? Apollo puts 98% email accuracy and 240M+ business contacts at your fingertips, so your reps spend the day selling. Start accelerating your pipeline today.
Start Free with Apollo →Use native-connector enrichment to maintain records already in Salesforce, and use export or CSV import to add net-new records. Match the method to the job.
| Scenario | Best Workflow | Objects | Sync Direction | Watch For |
|---|---|---|---|---|
| Refresh existing Accounts, Leads, Contacts | Native connector enrichment | Account, Lead, Contact | Pull, enrich, write back | Field overwrite rules |
| Add net-new prospects with emails | Export from prospecting tool | Lead or Contact | Push to Salesforce | Duplicates, suppression |
| One-time cleanup of a large list | CSV enrichment, then import | Any | Manual | Matching keys, failed rows |
| Ongoing hygiene | Scheduled connector enrichment | Account, Lead, Contact | Recurring pull and write-back | Refresh cadence |
Enrichment is rarely instant. Apollo's documentation describes CRM record pulls every 15-30 minutes, followed by enrichment and write-back. Plan for that latency in routing and sequencing.
Salesforce data needs continuous enrichment because contact data decays quickly, and static records go stale within a year or two. Landbase reports that work emails decay at up to 3.6% monthly, and that job titles change at 65.8% annually. Validity's State of CRM Data Management report, a survey of 602 CRM administrators and revenue leaders, found that 76% of CRM data is inaccurate or incomplete.
The cost is time as well as accuracy. Salesforce's State of Sales report found that reps spend only 30% of their workweek selling. Governed enrichment removes manual research from that gap. It does not recover all of it.
Struggling with stale Salesforce records? Start free with Apollo's data enrichment and keep Accounts, Leads, and Contacts current.
Map enrichment output to Salesforce fields by object, and set a fill-versus-overwrite policy for every field. Write the policy down before the first sync.
| Data Point | Salesforce Object | Example Field | Suggested Policy |
|---|---|---|---|
| Business email | Lead, Contact | Fill blanks only | |
| Job title | Lead, Contact | Title | Overwrite if source is newer |
| Employee count | Account | NumberOfEmployees | Overwrite |
| Industry | Account | Industry | Fill blanks only |
| Phone | Lead, Contact | Phone | Fill blanks only |
Sales-owned fields such as owner, status, and custom scoring should be protected from enrichment writes. Fields that decay quickly, like titles, are good candidates for scheduled overwrites. The data enrichment strategy guide covers prioritization in more depth.

Start Free with Apollo →Contact-only enrichment updates Contact records without creating or changing Accounts or Leads. It matches on email first, then on name plus company domain.
This approach suits RevOps teams that want clean Contacts without disturbing lead routing. The tradeoff is that net-new contacts at a known Account need a separate export step.
To export enriched contacts with emails, push verified records from your prospecting tool to Salesforce as Leads or Contacts, with duplicate checks on. Run the steps in this order.
Need contacts to push? Search Apollo's 240M+ contacts with 65+ filters and send them straight to Salesforce.
Your sandbox test should prove five things before production: email quality, suppression, duplicate prevention, failed-write handling, and reconciliation. Pass or fail each one.
| Test | How to Run It | Pass Criteria |
|---|---|---|
| Email quality | Enrich 500 records, send to a validator | Bounce rate below your threshold |
| Suppression | Flag 25 contacts as opted out, then re-enrich | Zero opted-out contacts reactivated |
| Duplicates | Re-import 100 existing records | Zero new duplicates created |
| Failed writes | Trigger validation-rule errors on purpose | Errors logged, retried, and visible |
| Reconciliation | Compare source count to Salesforce count | Counts match, gaps explained |
An enriched email is not a green light to send. Suppression has to flow from Salesforce back into your workflow, so a refreshed address cannot bypass an opt-out.
Validity's research is a reminder that stale and incomplete records are the default state, not the exception.
Evaluate vendor claims by piloting on your own target accounts, and evaluate risk by limiting permissions and monitoring exports. Both belong in your scorecard.
Apollo's December 2025 release notes report roughly 5% more emails, 7% more phone numbers, and 45% fewer email bounces from default waterfall enrichment. Those figures come from Apollo's own testing, not an independent benchmark.
Run a pilot to see whether they hold for your audience.
On security, Google documented attackers using compromised Salesloft Drift OAuth tokens to reach Salesforce instances in August 2025. Use a dedicated integration user, grant only the permissions the sync needs, rotate tokens, and alert on bulk exports.
Apollo users should also note that existing Salesforce connections must migrate to the managed package by December 31, 2026. Re-run your acceptance test after migrating.
SDRs benefit because records arrive in Salesforce already enriched, so they spend time on outreach instead of research. RevOps benefits because one governed sync replaces a patchwork of manual imports and point tools.
For Account Executives, current titles and verified emails mean pre-meeting context is trustworthy. For sales leaders, a single source of truth makes pipeline reporting more reliable. Consolidation matters here too. As Collin Stewart of Predictable Revenue put it, "We reduced the complexity of three tools into one." Fewer integrations also means fewer places for a sync to fail.
Want prospecting, enrichment, and outreach in one workspace? Automate your sequences with Apollo and keep Salesforce in sync.
Roll out enrichment in stages: sandbox first, then a small production pilot, then scheduled automation. Do not turn on overwrite rules for every field at once.
Start with fill-blank policies on email and phone, since they carry the least risk. Add overwrite rules for fast-decaying fields like titles after the first clean reconciliation. Review the write-back log weekly for the first month, and document each field's owner and policy. For tooling context, see which data enrichment tools drive revenue.
Teams that treat enrichment as governed maintenance, not a one-off import, get cleaner data and fewer surprises. Ready to put this workflow in place? Get Leads Now.
