Overview

Meetings get canceled. People ghost. Last-minute no-shows happen. Keeping up with all of them can eat up your day. 

This Sales Play fixes that “leaky bucket” by automatically following up with contacts who missed their meetings, so you don’t have to.

Using this Sales Play, Apollo will:
  • Detect when a meeting is canceled or marked as a no-show.
  • Automatically add the contact to a follow-up sequence.
  • Send AI-generated follow-up emails, giving you a chance to reconnect without manually doing the work.
Before you start:
  • Contact stages: You need a stage called “Meeting No-Show” in your contact fields. You can check this in: Settings → Objects, fields & stages → Contact field & stages
  • Meetings link integration: Ensure your meeting links are connected to Apollo so cancellations are tracked automatically

Create a new workflow called "No-Show Auto-Followup Workflow" in Apollo. Trigger: Use Meeting Cancelled as the trigger event (this will act as our proxy for no-show). Apply to all meeting types unless otherwise specified. Workflow Steps: When the trigger fires, immediately enroll the contact into a new two-touch sequence called "No-Show Auto-Followup Sequence." The sequence must contain two AI-generated email steps only (not static templates), generated in Prompt Mode. Email 1 (Immediate): Sent right after the meeting is cancelled. Must acknowledge that the contact did not attend their scheduled meeting, use a professional but understanding tone, and include a CTA to reschedule with the sender's current user scheduling link (30-minute meeting). Email 2 (3 Days Later): If no reply to Email 1, send a shorter and more direct message. Re-acknowledge the missed meeting without judgment, and offer one more chance to reschedule via the same current user scheduling link (30-minute meeting). Sequence Rules: Emails must be AI-generated in Prompt Mode, personalized using available contact and account data in Apollo. Tone must remain candid, professional, and encouraging to re-book. The scheduling link must dynamically use the current user's calendar link. Ensure contacts are processed every time they cancel a meeting (not just once). Save the workflow with the exact title "No-Show Auto-Followup Workflow." Save the sequence with the exact title "No-Show Auto-Followup Sequence."
